How to compare conference venue proposals with Claude

Venue proposals rarely compare like for like. The Venue & Logistics skill scores each option on the same criteria, recommends one, lists the top risks per option, and reviews the contract terms you should negotiate before signing.

What you'll need

Step by step

  1. Load the Venue & Logistics skill. Paste the conference-venue-logistics SKILL.md into a Claude.ai Project, or install all eight skills for Claude Code. Install steps →
  2. Describe what you need. Give Claude the attendee count, session formats, geographic preference, budget range and date flexibility.
  3. Share the proposals. Paste the venue list or RFP responses. No proposals yet? Ask for an RFP email to send to venues.
  4. Get the scored comparison. Each venue is scored on capacity fit, breakout room count, AV capabilities, catering flexibility, parking/transit, cost per attendee and contract flexibility — in a comparison table with a recommended choice and the top 3 risks per option.
  5. Review the contract. Paste the shortlisted venue's contract. Claude extracts rental cost, included services, overtime charges, cancellation policy, force majeure, insurance requirements and exclusivity clauses, flags unfavorable terms and suggests negotiation points.
  6. Optional: research and file. With Firecrawl available, the skill scrapes venue websites for capacity specs, photos, accessibility notes and prior event reviews. With Google Drive connected, proposals and comparison docs go in 06-venue-logistics/venues/.

What you get back: A scored comparison table with risks and a recommendation.
