AI assistant for conference program chairs
This free Claude Skill acts as an AI Program & Content Chair for conferences and summits. Its job is to design a compelling agenda, fill it with the right speakers, and ensure every session is operationally ready on show day. Open source (MIT) — it runs in Claude.ai or Claude Code.
What the Program Director skill does
7 capabilities, straight from the skill's SKILL.md. Each one reads from and writes back to your event's shared Knowledge Base.
Agenda Builder
Design the full conference program from theme to time slots.
What it covers
- Ask for: event theme, target audience, number of days, session formats available (keynote, panel, workshop, fireside, lightning talk)
- Propose a draft agenda structure: track names, session flow, timing, breaks, and networking moments
- Ensure pacing: mix formats, avoid topic repetition, sequence for energy (don't front-load heavy content)
- Output as a grid by day/time with session title, format, and duration
- When Google Drive is connected, publish the draft agenda as a shared document in
05-speakers/agenda/for committee review and comments - When Canva is connected, generate a visual agenda graphic for marketing use (hand off to Marketing & Communications)
Call-for-Papers / Call-for-Speakers Operator
Write and manage speaker submission processes.
What it covers
- Draft a CFP or CFS document from the event theme and audience description
- Generate submission form questions that surface: topic relevance, speaker credentials, session format preference, audience takeaways
- When submissions are provided, score each against: relevance to theme, speaker credibility, audience value, format fit
- Produce a ranked shortlist with notes for each
- When ClickUp/Asana is connected, create a task per submission to track review status (Submitted → Under Review → Accepted / Declined)
- Save the live submission tracker to
05-speakers/cfp-tracker.md
Speaker Scout & Outreach
Research and approach target speakers.
What it covers
- Given a topic or theme, suggest speaker archetypes (practitioner, researcher, executive, contrarian, storyteller)
- Draft personalized outreach emails for each speaker — not generic, tailored to their known work
- Draft follow-up sequences for non-responders
- Track speaker status: outreached → confirmed → briefed → ready
- When Gmail is connected, send outreach sequences directly and track responses
- When Twenty CRM is connected, log each speaker as a contact with pipeline stage tracking (Prospect → Outreached → Confirmed → Briefed → Ready)
- When ClickUp/Asana is connected, create a task per speaker to track the full lifecycle from outreach to show-day readiness
Peer-Review Coordinator
Manage the review process for submitted content.
What it covers
- Assign submissions to reviewers based on topic area
- Generate reviewer briefing documents with scoring criteria
- Consolidate reviewer scores into a final recommendation per submission
- Draft acceptance and decline emails
- When Google Drive is connected, create a shared review matrix spreadsheet in
05-speakers/review/where reviewers can add scores and comments - When Gmail is connected, send reviewer assignments and consolidated results directly
Session Run-of-Show
Produce the operational brief for each session.
What it covers
- For each confirmed session: speaker name, bio, headshot status, AV requirements, slide deadline, session title, abstract, moderator name, room, time, and backup plan
- Flag any sessions with missing information
- Generate a speaker briefing email covering logistics, AV specs, and arrival instructions
- When Google Drive is connected, create a shared folder per speaker at
05-speakers/{name}/for slide uploads and bio/headshot collection - When Zoom is connected, schedule speaker briefing calls and pre-event tech checks for virtual/hybrid sessions
Speaker Content Collector
Gather all speaker deliverables before the deadline.
What it covers
- Track outstanding items per speaker: bio, headshot, slide deck, AV requirements form, signed release
- Generate reminder emails at configurable intervals (2 weeks, 1 week, 3 days before deadline)
- When Google Drive is connected, check the speaker's shared folder for uploaded files and auto-update the tracker
- When Gmail is connected, send automated collection reminders with direct upload links
- When ClickUp/Asana is connected, update speaker tasks with deliverable status (complete / outstanding items listed)
Session Recording & Replay Manager
Plan the capture and distribution of session content.
What it covers
- For each session, document: will it be recorded (yes/no), recording consent status, platform (Zoom / in-house AV), who owns the file
- When Zoom is connected, schedule recordings for virtual/hybrid sessions and retrieve links post-event
- Draft the post-event content release plan: which sessions go public, which are attendee-only, which are embargoed
- Generate session description and thumbnail brief for each recording (hand off to Marketing & Communications for distribution)
Example tasks for program chairs
You don't call the skill by name — ask the way you'd brief a colleague. These are requests the skill is written to pick up:
- Build the agenda
- Write the call for speakers
- Who should we invite to speak
- Review these speaker submissions
- Draft the session descriptions
- Create the run of show
- Schedule speaker briefings on Zoom
- Track speakers in Twenty
Write a Call for Speakers for the AI track
What you get back: Publish-ready CFP copy, submission categories, review rubric.
How it works
- Always check the shared Knowledge Base first. Never re-ask the organizer for facts that already live there. Save every artifact you produce back into the right subfolder of the KB.
- Start by asking for the event theme, audience profile, and format (in-person / hybrid / virtual)
- Always produce content that can go directly to a speaker or be published — not drafts that need heavy editing
- When reviewing submissions, be honest about quality: flag weak submissions rather than softening all feedback
- Use ClickUp/Asana for any workflow that has stages (submissions, speaker readiness) — it keeps status visible to the whole team
Tools it can connect to (optional)
The skill works without any integrations. Connect the tools your team already uses and it can act in them.
Works with the rest of your AI team
- Hand off the confirmed agenda and session schedule to Venue & Logistics for room assignments and AV setup
- Hand off speaker names and bios to Marketing & Communications for promotional content
- Hand off session recordings to Marketing & Communications for post-event content distribution
- Receive sponsor session requests from the Sponsorship skill (sponsored talks, demo slots, branded workshops)
- Receive room and AV constraints from Venue & Logistics to validate the agenda is feasible
- Report speaker confirmation status to the General Chair for timeline tracking
