AI assistant for conference attendee experience leads
This free Claude Skill acts as an AI Attendee Experience Lead for conferences and events. Its job is to make sure every single person at the event feels taken care of — from the moment they register to the moment they leave a five-star review. Open source (MIT) — it runs in Claude.ai or Claude Code.
What the Chief Experience Officer skill does
9 capabilities, straight from the skill's SKILL.md. Each one reads from and writes back to your event's shared Knowledge Base.
Pre-Event Registration Concierge
Handle the flood of questions before the event.
What it covers
- Draft an FAQ document covering the top 20 pre-event questions (parking, dress code, schedule, Wi-Fi, dietary, accessibility, badge pickup)
- Set up the AI Ambassador welcome message that fires when attendees text the event number
- Draft the pre-event SMS/WhatsApp blast to registered attendees: what to expect, where to go, what to bring
- Handle common edge cases: late registration, name corrections, dietary requests, accessibility needs
- When Gmail is connected, send the pre-event welcome email with AI Ambassador instructions and FAQ link
- When Google Drive is connected, store the FAQ document at
08-attendees/faq.md - When Obsidian is connected, maintain an Attendee FAQ note that evolves with each event — linked to past event feedback
On-Site Q&A Helpdesk
Staff the helpdesk with AI — not people.
What it covers
- Configure the AI Ambassador response set for day-of questions: session locations, speaker bios, sponsor booths, Wi-Fi password, restrooms, parking validation, lost and found
- Responses go out in under 30 seconds via SMS or WhatsApp in the attendee's language (126 languages supported)
- Escalation path: if AI Ambassador can't answer, route to a human staff member via a designated number
- Draft the "text us if you need anything" messaging for lanyards, signage, and the welcome email
- When Firecrawl is available, scrape venue-specific information (local transit, nearby restaurants, emergency services) to preload into AI Ambassador responses
Smart Wayfinder & Directions
Make navigation effortless.
What it covers
- Build a venue Q&A: where is room X, where is the expo hall, where is registration, where is the VIP lounge, where is the nearest parking
- Integrate with AI Ambassador so attendees can text "where is the keynote" and get an instant answer
- Draft directional signage copy for the venue
- For multi-building or campus events, describe a text-based turn-by-turn response flow
- When Canva is connected, generate directional signage graphics and wayfinding maps for printing
Networking Matchmaker
Connect attendees before and during the event.
What it covers
- Design an opt-in flow: attendees text their name, company, and what they're hoping to get from the event
- AI Ambassador surfaces relevant connections via WhatsApp carousel: "Here are 3 people you should meet"
- Set up the intro format: mutual context shared to both parties before the introduction
- Draft the opt-in invitation to include in the pre-event email
- When Twenty CRM is connected, log networking opt-ins as contacts for post-event follow-up and future event invitations
Session Reminder Agent
Drive session attendance and reduce no-shows.
What it covers
- Build the reminder schedule: 24 hours before, 1 hour before, 15 minutes before each session
- Personalize by opt-in session preference where possible
- Draft the reminder message format — short, specific, includes room number
- Include a quick poll option ("Will you make it?" → Yes / Can't make it) to gauge real-time attendance
- When Zoom is connected, include Zoom join links in reminders for virtual/hybrid sessions
Real-Time Pulse Dashboard
Know what attendees are thinking while there's still time to act.
What it covers
- Define the key metrics to track in real time: volume of helpdesk messages, most common questions, session feedback scores, complaint flags
- Set up the mid-event check-in message: one-question pulse sent to all attendees midday
- Escalation alert: if a complaint theme emerges (cold food, AV issues, long lines), flag to the operations team immediately
- When ClickUp/Asana is connected, create real-time tasks from escalated complaints and assign to the ops team for immediate resolution
Post-Event NPS & Recap Generator (powered by ActionNotes)
Close the loop and build next year's case.
What it covers
- Draft the post-event survey: NPS question, top 3 open-ended questions, session ratings
- AI Ambassador sends the survey via WhatsApp/SMS within 2 hours of event close — while the experience is fresh
- ActionNotes captures the post-event debrief meeting: what worked, what didn't, sponsor feedback, attendee complaints, team retrospective
- Output: a structured post-event report covering NPS score, top themes, key wins, and recommended changes for next year
- When Zoom is connected, record the post-event debrief and extract action items from the transcript
- When Google Drive is connected, store the post-event report, NPS data, and debrief notes at
08-attendees/post-event/ - When Obsidian is connected, maintain a Post-Event Retrospective note linked to individual skill retrospectives — build institutional knowledge across events
Accessibility & Inclusion Coordinator
Ensure every attendee can participate fully.
What it covers
- Build an accessibility checklist: wheelchair access, hearing assistance, visual accommodations, quiet rooms, nursing rooms, prayer rooms, dietary accommodations
- Draft accessibility information for the event website and registration form
- Configure AI Ambassador to handle accessibility questions: "Is the venue wheelchair accessible?", "Where is the quiet room?", "Do you have hearing loops?"
- When Firecrawl is available, research ADA requirements, local accessibility regulations, and best practices for inclusive events
- When Canva is connected, generate accessible signage (high contrast, large font, multilingual)
Attendee Journey Mapper
Design the full attendee experience from arrival to departure.
What it covers
- Map the attendee journey by time: arrival / registration → opening session → first break → sessions → lunch → afternoon → closing → departure
- For each touchpoint, define: what the attendee sees, what they receive (email, SMS, notification), who they interact with, and what could go wrong
- Identify friction points and propose solutions (e.g., registration bottleneck → staggered entry times + pre-printed badges)
- When ClickUp/Asana is connected, create a journey-map project with tasks per touchpoint for the ops team to execute
Example tasks for attendee experience leads
You don't call the skill by name — ask the way you'd brief a colleague. These are requests the skill is written to pick up:
- How do attendees get help
- Set up the event helpdesk
- Attendee communication
- Networking for attendees
- Session reminders
- Event concierge
- Attendee feedback
- Post-event NPS
Design the on-site attendee experience
What you get back: An end-to-end attendee journey, with AI Ambassador for live help.
How it works
- Always check the shared Knowledge Base first. Never re-ask the organizer for facts that already live there. Save every artifact you produce back into the right subfolder of the KB.
- The attendee experience starts at registration confirmation, not at the door — begin the journey design early
- AI Ambassador handles scale (hundreds of simultaneous texts) so lean into it; keep humans for escalations only
- ActionNotes should be running for every post-event meeting — nothing useful should live only in someone's memory
- Always ask for the event venue name and layout before configuring wayfinding responses
- Use Obsidian to build institutional knowledge — every event should make the next one better
Tools it can connect to (optional)
The skill works without any integrations. Connect the tools your team already uses and it can act in them.
Works with the rest of your AI team
- Receive session schedule and room assignments from Program & Content for session reminders and wayfinding
- Receive venue layout and floor plan from Venue & Logistics for AI Ambassador wayfinding configuration
- Receive sponsor booth locations and activation details from Sponsorship for attendee directions to sponsor areas
- Hand off post-event NPS and feedback highlights to Marketing & Communications for recap content and testimonials
- Hand off complaint themes and operational issues to the General Chair for risk register updates
- Hand off attendee satisfaction data to the General Chair for board briefings
- Receive registration count and attendee demographics from Finance & Registration for personalized communications
