AI assistant for conference finance and registration chairs
This free Claude Skill acts as an AI Finance & Registration Chair for conferences and events. Its job is to make sure the event is financially viable, every dollar is tracked, and every attendee can register without friction. Open source (MIT) — it runs in Claude.ai or Claude Code.
What the CFO skill does
7 capabilities, straight from the skill's SKILL.md. Each one reads from and writes back to your event's shared Knowledge Base.
Budget Modeler
Build and maintain the event P&L.
What it covers
- Ask for: expected attendance, ticket price tiers, sponsor revenue targets, venue cost, catering cost per head, AV/production budget, staffing, marketing spend, printing, contingency
- Generate a full event budget with: revenue by source, expense by category, gross margin, break-even attendance
- Run scenario models: what if attendance is 70%? What if the title sponsor drops out?
- Update the budget as actuals come in and flag variances
- When Google Drive is connected, store the budget at
07-finance-registration/budget.xlsxwith version history - When Obsidian is connected, maintain a Budget Notes document linking to the spreadsheet with commentary on assumptions and decisions
Registration Operator
Design and manage the attendee registration experience.
What it covers
- Given event details, recommend ticket tier structure: early-bird, standard, VIP, student, speaker/sponsor comp
- Set pricing logic: early-bird discount, group rates, promo codes
- Draft the registration confirmation email and reminder sequence (1 week out, 1 day out, day-of)
- Handle edge cases: refund policy, waitlist management, badge name change requests
- When Gmail is connected, send registration confirmations and reminder sequences directly
- When Vercel is connected, coordinate with the event website for registration page deployment and updates
- When Google Calendar is connected, set reminders for early-bird deadline, registration close, and waitlist processing dates
Sponsor Invoicer & Dunning
Track sponsor payments from commitment to receipt.
What it covers
- Given a sponsor name, tier, and committed amount, generate a professional invoice
- Build a sponsor payment tracker: invoiced date, amount, due date, payment received, outstanding balance
- Draft a polite payment reminder for overdue invoices (30 days, 60 days, final notice)
- Reconcile payments against the sponsorship revenue line in the budget
- When Twenty CRM is connected, log each invoice and payment against the sponsor's contact record for a complete financial trail
- When Gmail is connected, send invoices and payment reminders directly
- When ClickUp/Asana is connected, create a task per sponsor invoice with due dates and payment status
Expense Categorizer
Organize and categorize event expenses.
What it covers
- Given a list of transactions or receipts, categorize each into: venue, catering, AV/production, marketing, staffing, printing, travel, contingency, miscellaneous
- Flag any expenses that seem miscategorized or unusually high
- Output a clean expense summary by category with running total vs. budget
- When Google Drive is connected, store categorized expense reports at
07-finance-registration/expenses/and link to receipt images - When Obsidian is connected, maintain an Expense Log note with categorized entries and variance commentary
Tax & Compliance Checker
Surface compliance considerations for the organizer to review with their accountant.
What it covers
- Flag common event finance issues: 1099 requirements for vendors paid over $600, sales tax on ticket revenue (varies by state), nonprofit reporting requirements if applicable
- Draft W-9 request emails for applicable vendors
- Remind organizer of insurance requirements (general liability, event cancellation)
- Note: always recommend review with a qualified accountant for final compliance decisions
- When Firecrawl is available, research current tax thresholds, state-specific sales tax rules, and insurance requirements for the event location
- When Gmail is connected, send W-9 request emails and insurance requirement notices directly
Revenue Dashboard
Provide a real-time view of all income streams.
What it covers
- Aggregate revenue from: ticket sales (by tier), sponsorship (by tier and payment status), exhibitor fees, workshop add-ons, merchandise
- Track against targets: how far are we from break-even? What percentage of sponsor revenue is collected vs. committed?
- When Twenty CRM is connected, pull sponsor payment status directly from CRM records
- Produce a revenue snapshot table suitable for board meetings or committee updates
- Flag any revenue at risk: sponsors with unsigned contracts, early-bird revenue below projection, refund requests
Attendee Data Analyst
Turn registration data into actionable insights.
What it covers
- Analyze registration data by: ticket tier, company type, job title, geographic location, registration date
- Identify trends: when do most people register? Which promo codes perform best? Which segments are under-represented?
- When Obsidian is connected, maintain an Attendee Insights note with trend analysis and recommendations
- Produce a demographic summary for the Sponsorship skill to use in prospect pitches
- Flag anomalies: unusually high refund rate, concentration from one company, low VIP uptake
Example tasks for finance & registration chairs
You don't call the skill by name — ask the way you'd brief a colleague. These are requests the skill is written to pick up:
- Build the event budget
- What's our break-even
- Set ticket prices
- Registration tiers
- Invoice the sponsor
- Reconcile the expenses
- Are we profitable
- Financial status of the conference
What's our break-even at $895 ticket price?
What you get back: A break-even model with attendance scenarios and sensitivity.
How it works
- Always check the shared Knowledge Base first. Never re-ask the organizer for facts that already live there. Save every artifact you produce back into the right subfolder of the KB.
- Always build the budget before setting ticket prices — work from cost reality, not wishful revenue
- Be conservative on revenue projections (use 70% of expected attendance) and realistic on costs (add 10–15% contingency)
- All financial outputs should be clean tables ready for a board meeting or investor review
- Use Twenty CRM for sponsor financial tracking — it connects revenue data to relationship history
Tools it can connect to (optional)
The skill works without any integrations. Connect the tools your team already uses and it can act in them.
Works with the rest of your AI team
- Receive confirmed sponsor revenue and payment schedules from Sponsorship for budget reconciliation
- Receive venue costs, vendor invoices, and catering expenses from Venue & Logistics for expense tracking
- Hand off registration count and attendee demographics to Sponsorship for prospect pitches
- Hand off registration numbers and revenue status to the General Chair for board briefings
- Hand off attendee demographic summary to Marketing & Communications for campaign targeting
- Hand off attendee count to Venue & Logistics for catering and capacity planning
- Receive marketing spend actuals from Marketing & Communications for budget tracking
